SO, you need to be able to keep track of all this stuff including receipt numbers, passwords, usernames, account numbers, and expiration dates.. You needs to systematize your business.

First things first, I highly recommend using an inexpensive tool like roboform at www.roboform.com. This will automatically keep track of your passwords and form information. It prompts you anytime you enter a logon and password. If it is already in Roboform's database, you can retrieve the information and automatically submit it. This saves tons of time and keeps you organized.

Next, keep a database that lists all those items I mentioned before: company names, dates joined, invoice numbers, logons, passwords, websites, email addresses, whether a once-off or monthly fee, and any additional notes. You can use a formal program or keep track of it with Microsoft Access or Excel, or consider OpenOffice, a free alternative to Microsoft Office, at www.openoffice.org.

Next, you need to keep track of your income and expenses. A simple way is to use a Microsoft Excel spreadsheet. You can also use Quicken, Quickbooks, or more formal software. What should you be looking for besides just the figures? You need to use the data to identify trends in profits and losses. Look at your product or services in relation to seasonality. If you sold this item last year, how did it fare this year? Obviously, you need the figures for tax accounting. Just make sure you have a system in place to ensure you are always on-track . How will you know what is working and what needs changing? You need to see if you are getting a good return based on the money you are spending in your business.

The last system you need is something to keep track of your advertising expenditures and results. It is most effective if broken down by ad campaign. Every day I receive emails asking me about beginning a service based home business. Some folks want to offer an errand service. Some folks want to offer a cleaning service, and others want to offer a tutoring service.

The most common questions are “how do I start?” and “how much do I charge?”

By preparing a simple business plan, both of these questions will be answered. A few resources I always suggest taking advantage of are the SCORE website which can be found at www.score.org and the small business/home business section on the IRS site http://www.irs.gov/businesses/small/article/0,,id=99336,00.html These two sites will answer many startup questions.

The fees to charge will vary by state and even by city. I do have someone clean my home for me. The fee I pay her is much higher than the fee someone outside of California pays. The fee I pay is very average for the town I live in.

There are a few ways to find out what the average fee is in your town. You can start on the internet. If you want to run an errand service, look online and see what services are being offered at what rates by other people. If you can, find a few businesses in your town.

Next, if your town has a “services offered” section in the daily newspaper, look and see what others are charging. My own local paper lists gardeners, house cleaners, tailors, party planners and many other services. Often, the advertiser will put their fees right in their ads to save phone calls from folks simply wanting to know their fees.

My final suggestion is to actually contact the other businesses and ask what they charge. You can look in your local yellow pages for other businesses offering the service you wish to offer.

Service based businesses are very popular and can be quite profitable. The key is in creating a business plan that will be your roadmap to success!!


Managing Your Time In a Home Based Business

People decide to start a home based business for a variety of reasons. Some people want to be home when their kids get home from school. Some people are caring for a sick parent and wish to be home. Some people just can not conform to the 8-5 mold.

When you work at home, you are in charge of your time. You will decide how much time is spent talking with customers, how much time is spent marketing your business and how much time is spent doing the laundry.

It is so easy to run out to the grocery store, or do a load of laundry, or finish up those dinner dishes; however none of those activities are contributing to your business.

One of the cutest stories I can share with you is the time I spoke with a woman who just couldn’t find her first customer. She and I had created a list of 50 activities she could do that would help her find that first customer. At the end of the week, she still did not have a customer. She was upset and frustrated. We began to talk about the list of 50 activities. She had not done one of them. What she had done was rearrange her office space twice, buy and put labels on several folders for the paperwork she knew she’d have down the road and read some articles on sales.

When you work at home, there is no one telling you when a project must be completed. There is no one asking you for your completed work. You have to have the desire and the motivation to take the steps needed to create sales for any business you start.

I am strong advocator of goals, both short term and long term. What is it that you want to accomplish today, this week, this month and this year? Put it in writing. If you want to find one new customer this week, that’s a great goal, but how will you find that person? Will you place an ad? Will you write articles? What steps will you take to find that new customer?

I know that sometimes we don’t hit our goals. That’s ok, rewrite them. Allow yourself 30 minutes per day to reread your goals, make a plan to execute those goals and if necessary, rewrite them. Remember there is no boss to tell you how to spend your time, but a goal sheet can help guide you through your days and weeks.


Work At Home: No Such Thing As A Weekend

When you work at home, if you want to be successful, you cannot have a "work for the weekend" work at home mentality. I have probably put my longest days into the weekend. As a matter of fact, I try to always work on my online businesses during the weekend. The worst possible attitude to have is that weekends are for pleasure. My attitude: Weekends are for making money.

Look at the weekends for an opportunity to continue to build your home-based business, time to do the small stuff that you may not be able to do as efficiently during the weekday. For example, my online business directory requires a lengthy amount of time communicating with local business owners. Generally, I am not able to do this during the weekend. This is when I take the opportunity to catch up on the little stuff.

I take the weekend to update my website and I do a lot of writing as well. I have to do these things completely clear of distractions, writing is not my strong point and must have complete focus on what I'm writing about. I like to take care of any accounting and re-organize everything as well. For me, many of the aspects of my my work at home on the weekend are much more enjoyable than what I do during the weekdays.

It helps me create a mentality that weekends are not always play-time. Don't get me wrong, I live for golfing on Saturday. Nonetheless, I always make time for writing and changing up what I do. My website, I am always trying to design the perfect website, I know it will never happen. But, I'm never satisfied, and always looking to improve. A person who commutes to their job, day in and day out, are in a closed box mind state, because of the way they think. They get a pay check every 2 weeks, or on the 15th and 1st of the month, depending on the company you work for. And they lead relatively stable lives. Stable meaning they have a house, a car, and maybe even take a vacation once a year for 2 weeks or forever long they are able with their job.

This may sound great to some people, but to be honest, it’s not all that great at all. Having a J.O.B. is almost as risky as playing the lottery. Why? Well, because if someone smarter or with more experience than you applies for a position with your company, they have a big chance of taking your job from you. Or, what if the company is having some difficulties financially, and they decide to downsize the company, you could potentially be out of a job. And then all that time and money you have put into your J.O.B. is gone, and can never be gotten back.

What do I mean by “money you put into your J.O.B”? Well, think of this, gas money, insurance for your car, your car payments them selves. That can add up, especially with the price of gas these days. And if your commute is far, then you are probably filling up your tank at least twice a week, at about $40 a fill, that’s $80 a week, $320 a month, or $3840 a year. So, you were at your job for about 10 years, that’s $38,400. That’s about an above average years salary for most people.

Now, if you would like to have control over how much you make, how often you take a vacation, and how stable your job really is. Then starting a home based business would be the thing to do. All you have to do is find the right opportunity, and then go for it.


Can You Deduct Your Home Office As An Expense?

Having a desk in your family room and calling it your office doesn't qualify as a legitimate home office. Learn what does qualify so you can get the most out of your expenses.

The number one rule to qualify as a home office is that it must be a separate room, used only as your office. Your kids can't come in and do their homework or any other activity. It's your office - plain and simple.

Now for tax purpose you'll need to know the total square footage of your house or apartment. (Yes, renters can deduct their office too as long as it is a separate room). Now measure the length and width of your office, multiply them to get the square footage of your office. Keep a record of this in your "Year End" file. This file is for all the papers you'll need to take to your accountant during tax time.

If you rent your house or apartment, you'll be able to deduct part of your rent and utilities. If you want to deduct phone costs, you'll need to have a separate business line put into your office. List the monthly phone costs as well as the installation cost under your "Phone" column on your expense spreadsheet.

The amount you can deduct for rent and utilities is the same percentage as the size of your office is to the size of your house or apartment. Let's say the apartment is 1,000 square feet and your office is 10 ft x 10 ft or 100 square feet. That means your office takes up 10% of your total living space.

At the end of the year, you'll be able to deduct 10% of your rent and utility expenses on your taxes.

Keep a copy of your utility bills each month. On each statement, figure what portion of the bill that belongs to the business. Note that amount on the bill and write it down on your spreadsheet under utilities. Let's say your electric bill was $85.00. Note that $8.50 of this bill is a business expense. Pay the bill in full with your personal checking account. And that's it for your monthly expenses.

If you own your own home and you have a room built for your office, you need to keep records of those expenses. Let's say you have a basement and you had walls added to create a separate office. Keep all the receipts (materials and labor) in a separate folder as part of your "Year End" records. These expenses are deducted over a period of time (usually 3-6 years). These are not recorded on your monthly spreadsheet.

So there you have the basics - the size of the office determines the amount of allowable expenses on your taxes, have a separate phone line and save all your receipts.

Home Business Record Keeping - Income and Expense

So you've set up the basics - separate checking account, month end bank statement and duplicate checks (see "Home Business Record Keeping - The Simple Way" article for more details) - now how do keep your records? Let's start with expenses.

Use either a file folder or a large envelope. Write "Daily Expenses" on it. Every time you order something through the internet; print out your receipt and stick it in "Daily Expenses". If you go to your local office supply store, as soon as you get home, put your receipt in the folder.

Also set up either an excel spreadsheet or buy the old fashion spreadsheets at your office supply store. They may be old but they work just as well. You'll be recording your expenses daily and totaling your columns at the end of the month.

At the top left corner of your spreadsheet, write the month and year. Down the left side, you'll record the date of the expense and whom you paid. Use separate columns. For example: 05/15/2006 Media Marketing, Inc.

Across the top of the page, you'll list your expense categories starting with column 4 if you are using an Excel spreadsheet. Since you are running a home based business and you are a sole proprietor, we are assuming you do not have any payroll. How you pay yourself will be covered in another article.

Write the following categories in your top columns. It's helpful to list them from left to right with left being the most used category. Let's say you begin with Advertising. Then add the following categories (not necessarily in this order): Office Expense, Utilities, Phone, Vehicle Expense, Contributions, Meals/Entertainment, Travel, Taxes, Licenses and Permits, Bank Fees, Credit Card Fees, Legal/Accounting. Skip a few columns and at the far right list your next to last column as Income. List you last column as Total.

Now at the end of the day pull out your receipts and log in your expenses.

What about the good stuff? Your profit! If you are using a credit card service, PayPal or another online processor, you should be able to log online to check you daily balance. If they don't post transactions until the following day, just post it the next morning on your spreadsheet. If you receive checks in the mail, record the total amount of deposit. So at the end of day or the next morning write the date, "Income" and the total of monies received. And as always, keep copies of your records. Make copies of your deposit slips and print out your online processor statements monthly.

And that's the basic information you need to set up your expense and income report. If you are very familiar with software such as Microsoft Money or QuickBooks, go ahead and use them. Unfortunately, many entrepreneurs buy the software and post expense (or what they think are expenses) into categories that may not be correct. When your Accountant has to straighten out these entries it takes his or her office time and that means more cost to you.
